The main SOM workflow

Six steps from a contact and order to a viewing and a deal.

1. Add a contact and an order

Find or create the client’s contact record and add their request to sell, buy, let or rent property. Fill in the requirements and assign an employee. Keep different requests from the same client as separate orders.

Result: the team has an order with client details and clear responsibility.

2. Select matching orders

Review the suggested matches, check the property details and partner terms, and mark suitable options as favourites. Exclude unsuitable suggestions so you can focus on the relevant ones.

Result: a shortlist of offers to discuss with the client.

3. Prepare and send presentations

Check the description, photos and offer terms. Prepare a presentation for its intended recipient — a client or a partner — and send it. Before sending, check which contact details and terms are visible in the presentation.

Result: the recipient has a clear offer to discuss.

4. Negotiate

Discuss the options, clarify requirements and concerns, and agree on the next step. Record the outcome in the worklist. If an issue remains open, set a task or reminder.

Result: the agreements are recorded and the next action is planned.

5. Arrange a viewing

Agree on a time and participants. After the viewing, record the outcome, client feedback and next steps. Where needed, link the entry to the matching order to keep the history in both orders.

Result: you know whether the property suits the client and what to do next.

6. Record the deal

Once the parties agree on a deal, add it to SOM and record the essential terms: participants, amount, deadlines and planned actions. Creating and viewing deals depends on your permissions. Contact your manager if an action is unavailable.

Result: the agreements and progress of the deal can be tracked in the system. If the deal does not go ahead, record why and decide how to continue working on the order.
